Scope & Data Governance
This Privacy Protocol governs how the AMEYA '26 Organizing Cadre, Department of Mechanical Engineering, and the Institution of Engineers India (SAME Student Chapter) at Vasireddy Venkatadri Institute of Technology (VVITU) collect, store, and process delegate information.
Information Collected
We only collect data strictly necessary for festival accreditation and competition adjudication:
- Full Delegate Name and Academic Year.
- Institutional Affiliation (College / University name).
- Direct Communications Address (Email & Mobile Phone Number).
- Competition Team Rosters and Hardware Category registrations.
Telemetry & Event Badging
During the two days of AMEYA '26 (October 08–09, 2026), physical badge taps and RFID checkpoints are used exclusively for campus crowd telemetry, arena occupancy management, and verified certificate generation. We do not sell, rent, or distribute delegate telemetry to third-party marketing brokers.
Institutional Sponsors & Industry Alliances
Certain industry challenge arenas (e.g., Bosch Mechatronics, Tata Technologies Powertrain) offer direct recruitment and internship opportunities. Delegate profiles are only shared with corporate partners with explicit delegate consent.
Technical Body Custody & 1-Year Destruction Policy
All participant information and registration data are held strictly in confidence within the Department of Mechanical Engineering and the IEI SAME technical body. Data is never leaked, distributed, or misused for external commercial purposes.
All registration records, uploaded college credentials, and accreditation telemetry are retained solely for certificate verification and conclave audit, and will be completely cleared and permanently destroyed after a one-year lifespan (365 days from registration). Delegates may also request immediate erasure at any time post-event by emailing ieisame@vvitu.edu.in.
